Assistant to Dean of Students

SUMMARY 

The position of Assistant to Dean of Students provides hallway and classroom coverage, administers limited medication management, acts as first point of contact for Cooke School, and provides secretarial and clerical support to Dean of Students and other staff working within the FSYR Donald Ralph Cooke School. Responsibilities include a variety of tasks necessary for the efficient operation of the school. 

The Assistant to Dean of Students is directly responsible to Dean of Students. 

This position is eligible for overtime pay. 

ESSENTIAL DUTIES AND RESPONSIBILITIES 

The following duties and responsibilities are given as examples of the various types of work performed in this position. Other duties and responsibilities may be assigned. 

  1. Prepares correspondence and other material from written draft and prepares for distribution for mailing, including editing for content, grammar, and spelling accuracy. 
  1. Prepares and maintains extensive files relating to Cooke School operations, including many confidential files. 
  1. Receives incoming telephone calls, including telephone inquiries, as needed. 
  1. Responsible for hallway monitoring at all times. 
  1. Prepares minutes of various staff and other meetings as requested. 
  1. Responsible for collecting information and submitting incident reports. 
  1. Responsible for updating and maintaining appropriate record files, such as student sign in/out logs and medical logs, and record keeping for attendance and calendar updates in my SchoolWorx.  
  1. Point of contact for all staff who will need to be absent. Responsible for reporting absent staff to Dean and DOE, and ensuring sub plans are collected and available as needed.  
  1. Responsible for giving medical aid as necessary (Tylenol, cough drops, bandages, etc.), notifies appropriate staff, and documents on the medication log. 
  1. Responsible for initiating monthly supply and resource requests. 
  1. Supervises youth working in the FSYR Donald Ralph Cooke School Work Program as needed. 
  1. Responsible for double checking the security of the school throughout the day.  
  1. Responsible for making sure all students report to scheduled activities in a timely manner.  
  1. Responsible for covering classrooms as needed when Teachers are out and a sub cannot be secured.  
  1. Responsible for performing Substitute Teacher duties as necessary. 
  1. Responsible for providing supervision in the cafeteria while the students are at lunch. 

EDUCATION AND EXPERIENCE REQUIREMENTS 

The person filling this position must have a high school diploma or GED. Experience working in a clerical, secretarial, or teaching position within a school environment is preferred.  

REQUIRED KNOWLEDGE, SKILLS, AND ABILITIES

  1. Must have the ability to read and interpret documents such as safety rules, operating and maintenance instructions and procedural manuals; write routine reports and correspondence; and speak effectively with groups. 
  1. Must have the ability to add, subtract, multiply, and divide in all units of measure using whole numbers, common fractions, and decimals, ability to compute rate, ratio, and percentage. 
  1. Must have the ability to apply common sense understanding to carry out detailed but uninvolved written or oral instructions and to deal with problems involving a few concrete variables in standardized situations. 
  1. Must have a good working knowledge of standard office procedures. 
  1. Must have basic knowledge of computers (Microsoft Office Software preferred) and data entry equipment.  
  1. Must have analytical, math, and grammar skills sufficient to meet minimum standards of the Youth Ranches Skills Test. 
  1. Must have the ability to organize the workload to permit a free flow through the office, but be flexible in order to complete priority items as needed. 
  1. Must have the ability to ensure that all written correspondence is complete and correct, including spelling, punctuation, grammar, etc. and that the meaning or content is clear.  
  1. Must have a pleasant telephone voice and personality and have the ability to take accurate information from callers. 
  1. Must have the ability to function effectively under a heavy workload and constant interruptions to meet the demands of the position. 
  1. Must have the ability to work independently, keeping all parties involved informed of actions taken. 
  1. Must have a valid Florida Driver License and be able to maintain a safe driving record consistent with agency policy.

While performing the duties of this position, the employee is extensively required to sit, hear, talk, and reach with arms and hands. The employee will regularly be required to stand, walk, and lift objects weighing up to 10 pounds.  The employee will occasionally be required to lift objects weighing up to 25 pounds.  Specific vision requirements for this position include close, distance, color, depth perception and have the ability to adjust focus.  

WORKING CONDITIONS 

Work is generally performed in an office environment.  There are no special conditions. 

BASE SALARY               $15.00 Hourly
